Privacy Policy

Effective date: August 19, 2026. This policy describes how Septic Pro Connect collects, uses, stores and shares information when you use our web, iOS or Android applications. It is provided in plain language and is not legal advice.

Who we are

Septic Pro Connect provides business software used by licensed septic inspection companies. Each subscriber company is a separate tenant and is the owner of the records it enters. This policy covers the Septic Pro Connect service; inspection companies are responsible for their own customer-facing privacy notices.

Information we collect

We collect information you provide, data generated through use of the service, and limited device data needed to run the apps.

  • Account and profile data: name, work email, phone number, job title, professional license number, password hash and role assignments.
  • Company data: company name, address, contact details, state licence information and uploaded logo.
  • Customer and property records: names, mailing addresses, property addresses, phone numbers, email addresses and any notes entered by your team.
  • Inspection content: answers to workflow questions, component details, photographs, videos, audio notes, uploaded documents and captured signatures.
  • Generated reports: branded generic reports, official state forms and any appended public records.
  • Device and usage data: IP address, browser or device type, operating system version, app version, crash logs and error reports used to diagnose faults.
  • Billing data: when you subscribe, our payment processor collects card or bank details on our behalf. We do not store full payment card numbers.

How we use your information

  • To provide, maintain and improve the inspection, reporting and compliance features.
  • To authenticate users, enforce roles and keep tenant data isolated.
  • To generate, store and deliver reports, photos and signatures.
  • To manage seats, trials, subscriptions and billing.
  • To respond to support requests and send service-related notices.
  • To detect abuse, prevent unauthorized access and fix technical issues.

We do not sell personal information. We do not use customer or property records for advertising or behavioral profiling.

Data sharing and processors

We share data only with service providers that process it on our instructions to operate the service, and when required by law. Current categories of processors include:

  • Cloud hosting, database and authentication providers.
  • Private file storage and signed-url delivery services.
  • Payment processors (when billing is enabled).
  • Email and notification delivery services.
  • Crash reporting and error monitoring services.

We may also disclose information if we believe it is necessary to comply with a legal obligation, protect our rights, or respond to an emergency.

Tenant isolation and access controls

Records are scoped to the company that created them and enforced at the database level with row-level security. Users of one company cannot read another company's data. Within a company, access depends on the roles an administrator assigns. Media files are held in private storage and served through time-limited signed links.

Video links and QR codes

Reports may include a QR code that opens an inspection video through a unique token link. Anyone holding that link can view that specific video, so distribute reports accordingly. Links expire automatically after a limited time.

Your rights and choices

Depending on your location, you may have rights to access, correct, export or delete personal information. Company administrators can update most records directly in the app. For requests that require our assistance, use the data rights request form or email support@septicproconnect.com. We confirm every request with a reference number, respond within 30 days, and may need to verify your identity first.

Account deletion

Company administrators can remove team members and deactivate company accounts from the settings screen. To request deletion of your personal account or your company's tenant data, submit the account & data deletion request (no sign-in required) or email support@septicproconnect.com. Deletion is completed within 30 days of verification and purged from backups within 90 days, subject to any legal record-keeping obligations. Some operational logs may be retained for security and legal compliance.

Data retention

Inspection and report history is retained for the company's records while the account is active, including after a user account is removed from the team. Deleted tenant data is removed from active systems within 30 days and from backups within 90 days unless a longer period is required by law.

Security

We use industry-standard measures including encryption in transit (TLS), encrypted storage, signed URLs for media, role-based access controls and database row-level security. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Children's privacy

The service is intended for business use by adults and professionals. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

Cookies and similar technologies

We use essential cookies and local storage to keep you signed in, remember preferences and keep the service secure — these cannot be switched off. Optional analytics cookies are only set if you accept them; on your first visit we ask, and you can reject non-essential tracking with one tap. Change your mind at any time below.

International data transfers

Our infrastructure providers may process data in countries other than your own. We rely on standard contractual clauses and provider certifications to protect data transferred across borders.

Changes to this policy

We may update this policy as the service changes. We will post the revised version on this page with a new effective date. For material changes, we will also notify administrators by email or through an in-app notice.
